Job Description – Publicity Officer

Roles and Responsibilities

• Ensure the club has an active publicity presence on social media and the local community
• Co-ordinate the advance publicity for club events and recruit specific volunteers to pursue advertising and sponsorship as needed
• Be the main point of contact for media-related enquiries to the club

Key Activities

• Write and electronically distribute news of members’ and ex-members’ activities at an elite level, including relevant daily coverage of major National and International events e.g., HRR, GB Trials, European Champs, World Cups, World Champs to all local media outlets
• Serve as main media-related enquiries
• Maintain the @teesrowingclub Twitter feed and Tees Rowing Club Facebook page, ensuring regular updates on the above are disseminated
• Maintain a database of contacts at local newspapers, radio and TV stations
• Ensure the advance publicity of all club events e.g. Tees Long Distance Sculls, Tees Regatta etc… appears in the local press. Recruit specific additional volunteers to ensure this time-intensive job is completed, paying particular attention to advertising and sponsorship
• Ensure all media-related enquiries to the club are passed to the appropriate person and serve as a coordinator between the press, Captain, specific members of interest e.g., Olympians/Paralympians Note: The Publicity Officer is NOT expected to be a spokesman for the club unless no other more appropriate person e.g., Captain, President, Chairman etc. is available

Experience Required

• Ideally has had some previous experience as a publicity officer and understands how to gain maximum publicity for the club in the local and if possible national press
• Ideally has some background in or knowledge of journalistic writing
• An understanding of how to create and sell a story to the press
• Can communicate effectively with Club members
• Is familiar with developing and maintaining databases
• Ideally should have strong IT skills and knowledge of running social media accounts for organisations
• Has the ability to write letters on behalf of Tees Rowing Club

Note: It is vital the Publicity Officer had access to both a computer and an internet connection.

Time Required

• 1 hour each week to gather information and news related to the Club
• 2 hours every month to attend the committee meeting
• 2 hours per month to spend on the other Publicity Officer’s roles and responsibilities

Job Description – Coaching Coordinator

Roles and Responsibilities

• Ensure all Club members who wish to receive coaching have access to a suitable coach
• Ensure compliance of participant welfare
• Maintain a database of current coaches within Tees Rowing Club
• Understand the individual strengths and personal aspirations of each coach
• Facilitate training for all members wishing to qualify as a coach

Key Activities

• Assess the coaching needs of Tees Rowing Club
• Link crews, squads and individuals with appropriate coaches; Liaise with the Captain and Vice Captains accordingly
• Identify gaps in the coaching team at Tees Rowing Club and canvas potential coaches to fill these gaps
• Promote a high quality of coaching within Tees Rowing Club and support the clubs coaching team to continue their coaching education and development
• Provide, where appropriate or requested, mentoring support for new and existing coaches within the club
• Develop a performance pathway for coaches
• Organise and implement a coach education programme to help members of the club improve their coaching
• Record all qualifications received and courses attended by Tees Rowing Club membership
• Manage the attendance of members wishing to become coaches at external courses
• Investigate potential coaches from club membership and whether there is any funding to gain qualifications
• Promote the Clubs Coaching Code of Conduct and review on a yearly basis in line with British Rowing recommendation
• Create and maintain a resources library to assist the coaching team
• Ensure any welfare issues are referred to the Welfare Officer
• Ensure any safety concerns are reported to the Safety Adviser

Experience Required

• Experience or knowledge of working within a coaching structure (but not essential)
• A desire to develop the coaching team of Tees Rowing Club
• Excellent communication skills
• Experience in developing and leading a team

Time Required

• Coaching in person up to four sessions per calendar month
• Participation in Tees RC committee meetings once per calendar month

Job Description – Membership Secretary

Roles and Responsibilities

• To be the first point of contact and welcome new members
• To process new application forms and follow up accordingly
• Maintain Google Groups
• To access Go Cardless and update as required by the Treasurer
• Support the Treasurer, Captain and Secretary as requested

Key Activities

• Hold and process all new application forms; dispose of materials in line with GDPR
• Notify the Treasurer and Captain of new admissions or amendments to membership
• Maintain a database of membership to include email, address, swimming competency, coaches etc. to be made accessible to the Captain, Treasurer, Safety Adviser and Secretary in line with GDPR
• Ensure contact and emergency contact details are updated on an ongoing basis
• Ensure all members return their acknowledgement of swimming competency and inform the Safety Adviser if appropriate
• Ensure new members medical issues are shared accordingly
• Liaise with the Captain to arrange induction
• Organise applications for new and replacement fobs

• Add and delete members to Google Groups.  Set up sub-groups as required
• Set up and amend Go Cardless payments as required; and inform the Treasurer of changes made and identified on a timely basis

Job Description – Welfare Officer

Roles and Responsibilities

• Ensure members feel welcome, included and supported
• Act as a safeguarding focal point, and in conjunction with the committee, all members and visitors, to uphold the Clubs safeguarding policies and procedures in order to safeguard children and adults at risk
• Ensure the policies set out by British Rowing and other guidance are considered and implemented by the Club to safeguard the membership
• To understand welfare information and make sure this is embedded in the Clubs processes for dealing with issues

Key Activities

• Proactively promote safeguarding by:
• Ensuring welfare officer contact information is easily and widely available, such as having posters in the Club and on the Tees RC website
• Regularly attending Club sessions to make sure all members and parents know who you are, so they can speak to you regarding any worries they may have

Managing Incidents

• Respond to safeguarding concerns and disclosures when they arise in line with Club policy and best practice
• Work with British Rowing (and where required, other external safeguarding authorities) on safeguarding concerns and disclosures
• Provide a signpost of up-to-date information about who to contact and when if matters are urgent (and/or out of hours).
• Ensure any safety concerns are reported to the Safety Adviser (if appropriate)

Club Volunteers

• Ensure safe recruitment procedures are observed and followed through (e.g. DBS check)
• Keep and securely store confidential records, including of all those who have been vetted within the Club and ensure that DBS checks are updated on at least a three-yearly basis (but not keep the certificate or photocopies/scans of it); and a log of those who have had safeguarding training and when; Share this record with the Secretary on a timely basis
• Ensure the safe recruitment procedures are observed; pursue references for those who will be coaching / working with junior rowers or adults at risk

Policies and Procedures

• Support the committee to update and communicate the safeguarding policies and procedures to coaches, staff, volunteers, children, families and all other members and visitors
• Advise the club committee on the development of safeguarding culture within the Club

Job Description – Entries Secretary

Roles and Responsibilities

• To manage all Regatta and Head Entries for Tees Rowing Club

Key Activities

• Make members aware of forthcoming regattas by circulating posters and other relevant information
• Liaise with the Captain to establish suitable Tees RC entry deadlines and arrange for the TRC website entries page to be updated accordingly
• Enter crews for competitions via BROE or directly to regatta organisers as required
• Invoice members regarding entry and towing fees
• Work with Captain to give awareness of entries made
• Liaise with the Captain to identify boats that will be used by crews entered at competitions
• Circulate competition information such as draws and safety information when available
• Liaise with Club Treasurer to establish appropriate levels of towing fees to whole club events and other regattas (e.g. Henley, Nationals)

Experience Required/Person Specification

• Ability to communicate effectively with good numeracy skills
• Able to work confidentially, and to tight deadlines occasionally
• Ideally knowledge of BROE would be useful, but this is not essential

Time Required

• 2 – 4 hours per month

Job Description – Equipment Manager

Roles and Responsibilities

• Organises the equipment maintenance programme in consultation with the Captain, Vice Captains and Coaches
• Overall responsibility for maintaining boats, launches and associated equipment in safe working order
• Report to the Committee on the status of the fleet and any major repairs
• Maintains a damage and maintenance reporting system for use by club members
• In conjunction with the Captain, allocate equipment where appropriate
• Acts as a gatekeeper, effectively, to enable the club to keep track of its equipment

Key Activities

• Provide basic maintenance for club blades, boats, launches, trailers and gym equipment, organising and lightly supervising the carrying out of work in-house where possible, or managing third party repair arrangements
• Manage the volunteers working as part of the Equipment Team
• Decide whether to pass minor issues/repairs back to the crew and, if this is to be the case, provide any tools and/or parts required. Ensure such jobs are completed in a timely fashion
• Purchase and keep secure a stock of spares to facilitate basic maintenance, recycling parts where appropriate and possible
• Acquire and keep secure the appropriate tools to facilitate basic repair and maintenance
• Keep a record of repairs, boat, trailer and gym equipment servicing
• Periodically arrange club maintenance days
• Provide advice to club members regarding boat maintenance
• Keep the Treasurer informed of any purchases, costs and future budgeting requirements
• Authorised to spend up to £1000 of club money to facilitate the above without first referring to the Committee, but must always remain accountable for this expenditure

• This is not easy to quantify and could be anything from 1hour to 20 hours per month.

Job Description – Assistant Secretary

Roles and Responsibilities

• To assist the Secretary in the Administration of the Club as and when required
• Attend and participate in Club Committee meetings
• Ensure that Committee meeting minutes are written up in the absence of the Secretary

Key Activities

• Generally assist the Secretary in the administration of the Club
• Maintain the club notice board
• In conjunction with the Secretary, review and update Tees RC policies and procedures for approval
• Assist the Secretary by proof reading articles prior to wider circulation

Job Description – Safety Adviser

Roles and Responsibilities

• Establish the standards for safe rowing at Tees Rowing Club
• Ensure club safety standards align with those of the national governing body, British Rowing, and other key stakeholders, such as Canal & Rivers Trust
• Encourage members to act in a safe manner report any incidents in a timely manner
• Ensure that the safety performance at Tees RC is regularly reviewed
• Ensure that any learning points from events at Tees RC or elsewhere are used at the club as appropriate

Key Activities

• Organise and undertake regular audits of club facilities and equipment and ensure that these audits are kept in club records
• Ensure any actions arising during these audits are communicated with relevant people and completed in a timely manner
• Ensure the Tees RC Safety Code and other safety documentation are regularly reviewed
• Communicate any new information to club members via website, email and safety notice board
• Ensure appropriate safety training is provided including organising regular swim tests and capsize drills
• Liaise with the equipment manager to ensure that the safety features of boats are inspected at appropriate intervals
• Ensure that safety equipment is inspected and serviced at appropriate intervals including buoyancy aids, throw lines and first aid kits
• Liaise with British Rowing and Northern Rowing Council on safety matters

Job Description – Vice Captain

Roles and Responsibilities

• Support the Club Captain
• Co-ordination of members in squads, crews and groups as well as independent members;  Liaise with the Coaching Coordinator accordingly
• Assist in the running of Tees Rowing Club
• Encourage new members into potential squads within Tees Rowing Club

Key Activities

• Ensure members training/coaching within Invite Only groups and crews receive support of the Club where needed, and facilitate the introduction of new members to these groups where a mutual benefit can be expected
• Canvas and encourage the joining of new members to Tees Rowing Club
• Act as an arbitrator and facilitator in the case of disputes within or between squads, crews and groups
• Ensure members training independently receive equal support from the wider club and have access to help when needed

• Support the Captain in preparation and review of the five-year development plan based on knowledge of the club status at the time

Job Description – Secretary

Roles and Responsibilities

• Ensure Tees Rowing Club meets its legal obligations
• Act as the Tees Rowing Club contact with British Rowing for administration purposes
• In conjunction with Committee Officers, act as a point of contact between members and the committee
• Receive all Tees Rowing Club mail and report to the committee and publicise to all club members as required
• Ensure that Committee meeting minutes are written up in a timely manner
• Ensure that club membership records are accurately maintained

Key Activities

• Co-ordinate and disseminate correspondence to the membership
• Ensure an accurate database of members contact details, DOBs and medical conditions is maintained in accordance with the principles of GDPR including DBS clearance

Job Description – Treasurer

Roles and Responsibilities

• Manage and maintain Tees Rowing Club accounts and ensure they are audited
• Ensure the Tees Rowing Club committee is aware of the current financial status of the Club and advise of money available for future spending requirements
• Ensure the Tees Rowing Club bills are paid as required, e.g., insurance, British Rowing affiliation
• Prepare an annual budget for the Club and recommend the level of membership subscription

Key Activities

• Measure and analyse the financial performance of the club against the agreed budgets and report on it to the committee meetings
• Look after payment and renewal of insurance and any licenses
• Through consultation with the Club Officers, prepare an annual budget for presentation to the Club membership at the AGM
• Prepare accounts and arrange an annual audit
• Ensure all creditors are paid
• Resolve financial problems
• Complete monthly bank reconciliations
• Complete monthly membership subscription reconciliations including racking charges

Job Description – Captain

Roles and Responsibilities

• Management of boat allocation, usage and replacement when needed
• Manage Regatta and Head Entries including the preparation of the racing calendar for the club at the start of each season
• Ensure any coaching programs are managed matching crews to available coaches where possible or required
• Ownership of the Tees Rowing Club five-year plan
• Act as a point of contact between the membership and the committee
• In conjunction with Committee Officers, act as a point of contact for Tees Rowing Club with British Rowing, the Northern Rowing Council and other relevant committees
• Ensure the smooth running of Tees Rowing Club

Key Activities

• Ensure all relevant information is communicated to the membership in an efficient and timely manner
• Work with the Vice-Captains and squad coordinators to ensure all athletes have the opportunity to row and increase recruitment by encouraging new members
• Review and update the club five-year plan on an ongoing basis to ensure it fits with the current plans of the committee and club ethos
• Report progress against the five-year plan on an annual basis at the AGM
• Work with the Treasurer and Equipment Manager to create and maintain a budget plan for the purchase of equipment, in accordance with the five-year plan

Job Description – Chair

Roles and Responsibilities

• Chair the committee meetings including the Annual General Meeting
• Direct the development, implementation, review and updating of the Club’s strategy and development plan
• Present the public face of the club when required

Key Activities

• Chair the committee meetings. Ensure all members of the committee have an opportunity to air their views; that the meetings stick to the agenda, ensuring that where necessary a discussion is brought to a conclusion and agreement reached on the next step. Where a vote is drawn the Chair has the deciding vote.
• To assume the strategic responsibility for guiding the activities of the Club in accordance with its general strategy and policies
• To ensure the actions agreed by the Committee are carried out
• To be the final arbiter of any escalation process in the event of any issues or complaints, final deciding vote etc.
• To represent or arrange for representation of the Club at the British Rowing regional level meetings and at meetings of other organisations, for example local rowing clubs, as required
• Provide advice and support to the Captain when sought

• Able to devise (with assistance of the Club Captain and others as appropriate) and to articulate a medium and long-term strategy for the future of the Club
• Seen as impartial and approachable by all Club members

Time Required

• A total of 6 hours per month to attend monthly committee meetings; to review the strategy and rate of implementation plan; and to attend other Club issues

Job Description – President

Roles and Responsibilities

• Present the public face of the Club
• To act as the figurehead of the Club

Key Activities

• To attend appropriate external meeting and report back to the Committee where required
• To formally receive and comment upon the medium and long term strategy of the Club
• At their discretion, attend, and vote if they choose to do so, at any Committee meeting
• Act as host for the annual dinner of Tees RC
• Provide advice and support to the Club Members when sought
• Canvas members’ opinions and forward these to the committee where appropriate
• Attend functions, club dinners etc. to represent the Club when invited
• Ensure any safety concerns are reported to the Safety Adviser
• Ensure any accident witnessed or heard about is correctly reported
• Ensure the club rules and bye-laws are abided by
• Ensure Welfare issues are referred to the Welfare Officer

Experience Required

• A long-standing, distinguished member of the Club
• Knowledgeable and experience in all matters concerning rowing and running a rowing club

Time Required

• Variable and dependent on the time of year
