Extraordinary General Meeting - 30 October 2007

Dear Member of Tees Rowing Club,

I am writing to give you notice that this will be held on Tuesday October 30th at 8 pm in the River Tees Watersports Centre, The Slipway, North Shore, Stockton-on-Tees, TS18 2NL.

The meeting has been called at this time to update the Club Rules to meet the requirements of some grant awarding bodies. A recent application was returned because the current rules are incomplete. You may be aware that the Club is in the process of applying to several funding sources for new equipment, with some very recent success, so these changes will help us in the short term future. The opportunity is also being taken to make changes required by the amended ARA policy on Safeguarding and Protecting Children, and a couple of minor amendments.

The attachments to this e-mail consist of:

The Agenda for the meeting with more information on the rule changes and reasons behind them

The proposed Anti-Bullying Procedure

Details of the Rule Changes, giving existing text and proposed changes.
The ARA Safeguarding and Protecting Children Policy is available at:
http://www.ara-rowing.org/Asp/uploadedFiles/File/Welfare/SafeguardingPolicyMar2007(WEB).pdf
The changes to the rules are just one aspect of the things the Club has to adopt in order to satisfy the new requirements. Some background will be given at the meeting.

Details of the Rule Changes are also available on the Club Notice Board at RTWC

Unless there are significant problems with the proposals, we expect the meeting to be short. We need a minimum of 10 members at the meeting to pass the rules, so please stay on after training for a few minutes. All members except social members, monthly members and distant student members, but including junior members, are entitled to vote.

AGENDA

1. Adoption of Anti-Bullying Policy.

2. Rule Changes required by the ARA Safeguarding and Protecting Children Policy.

3. Rule Changes to define Powers and Financial Controls

4. Rule Changes to amend the Treasurer’s Duties

5. Rule Change to amend the Swimming Requirement
